COVID-19 Update – E-delivery for policy contracts

BMO Insurance is committed to the well-being of you, and your clients, during these challenging times. We continue to evolve and develop guidelines and practices to help you better serve your clients. Effective immediately and for the duration of the COVID-19 outbreak, we are pleased to offer a remote policy delivery process for individual life and critical illness policy contracts.

How it works
This process allows advisors and clients to meet in a Non-Face-to-Face environment to facilitate policy delivery. Once the policy is ready to be issued, the following will occur:

The MGA/National Account office will receive an email informing them that the policyowner will receive a link to the policy contract and related documents via Microsoft OneDrive.  

  • The MGA/National Account office email will contain a copy of the Issue Case Status Report (ICSR), policy contract and related delivery requirements. It will NOT contain the insured’s confidential medical disclosures.
  • The MGA/National Account office must then forward this email to the advisor and will instruct him/her to contact the policyowner and arrange a remote policy delivery. In order to protect their clients’ private information, copies of the documents they receive should NOT be forwarded to the client.

2. 

The policyowner will receive a separate email with a link to access the policy documents along with a message that their advisor will contact them to review these documents.


 

  • A passcode will be sent to them in a separate email and when used with the link, will give them access to their policy contract, including their medical disclosures.
  • The policyowner can access these documents via the link for 45 days during which time they will be able to review and download copies.
  • Policyowners will need to sign and return the delivery documents to their advisor who can then return copies to BMO Insurance via their MGA/National Account office. 

 

3. 

Finally, a hard copy of the policy contract will be couriered to the MGA/National Account office at a later date, for delivery to the policyowner once social distancing restrictions have been lifted.


For policyowners who can’t receive email we can arrange for paper delivery.
